AI Scribes in Your Appointment
(Heidi and Accurx AI Scribe)
We use secure NHS-approved digital tools called AI scribes to help clinicians write notes during your appointment.
These tools are provided by trusted healthcare companies including Heidi Health and Accurx.
What is an AI scribe?
An AI scribe is like a digital note-taker. It listens to your consultation and creates a draft summary for the clinician.
This helps your clinician spend more time looking at you and listening to you, instead of typing.
Your clinician will always:
- check the note carefully
- edit it if needed
- approve it before saving it in your medical record
The AI tool does not make decisions about your care.
Can I opt-out?
Your clinician will tell you if they plan to use an AI Scribe. If you would prefer not to have an AI scribe used, just tell your clinician.
This will not affect your treatment or access to care.
What information is used?
The AI scribe uses:
- what you say during your appointment
- your health information
- your voice during the consultation
It only uses information that is relevant to your care.
Are recordings kept?
No, conversations are transcribed at the same time they happen and no recordings are stored. Once the notes are created the audio is deleted straight away.
Who can see my information?
Only authorised healthcare staff involved in your care can see your record.
The AI companies (Heidi and Accurx):
- act as data processors for the practice
- cannot access your record unless authorised for support or safety reasons
They must follow strict NHS and UK data protection laws.
How is my data kept safe?
Both Heidi and Accurx systems:
- meet NHS data security standards
- follow UK GDPR rules
- use strong security controls and encryption
- keep data stored in UK-approved secure systems
How is my information used?
Your information is used only to:
- support your care
- create accurate medical notes
- improve safety and quality of your record
Your data is:
- not used for advertising
- not sold
- not used to train AI models
How long is information kept?
- The audio is not stored at all
- Draft notes may be stored for a short time to allow the clinician to check them
- The final version becomes part of your medical record
Your GP record is kept in line with NHS record-keeping rules.
